Office Services Assistant

This position is responsible for providing secretarial, clerical and administrative support. Standard (not exhaustive) requirements of the position are listed below:

Job Description

  1. Operate multi-line telephone system to answer calls.
  2. Answer and re-direct all incoming calls and handle inquiries whenever possible.
  3. Greet, assist and/or direct guests, visitors and the general public, ensuring adequate access control.
  4. Maintain control logs related to gate pass, visitors/guests, company bikes and cars. Also maintain log of rider duties.
  5. Provide HSE briefings to new employees and external parties.
  6. Receive, direct and relay telephone messages and fax messages.
  7. Direct newspapers to the appropriate staff member.
  8. Manage all incoming and outgoing mail as per mail nomination and dispatch processes
  9. Open mail and date stamp all general correspondence.
  10. Maintain the general filing system and file all correspondences.
  11. Assist in the planning and preparation of meetings, conferences and video conference calls.
  12. Maintain an adequate inventory of office/kitchen supplies.
  13. Monitor the use of supplies and equipment.
  14. Receive, forward and prepare summary of bills.
  15. Prepare various admin reports.
  16. Arrange logistics to transport products or supplies from suppliers to factory and head office as required.
  17. Generate and issue purchase orders (POs) as per given purchase requisitions (PRs) in coordination with respective line managers.
  18. Manage, track and issue kitchen supplies and stationery.
  19. Manage calendars, mails, calls, messages, appointments, and reservations for the departmental head.
  20. Keep check on housekeeping.
  21. Maintain an operational and high quality front desk environment.
  22. Maintain logs of rider / vehicle usage.
  23. Maintain relevant stock reports.
  24. Provide administrative support.
  25. Monitor housekeeping / facilities and flag any issues to officer / Incharge.
  26. Perform other related duties as directed by supervisor / line manager.
