Manager Administration and HR (Factory)

Crescent Steel and Allied Products Limited is a multi-business organization spread over six campuses with over 700 employees.

We are currently seeking applications from experienced administrative leaders with a positive can-do attitude coupled with an efficient and highly organized approach to the role, to join our Factory's administration team as Manager Administration and HR.

For this role, we are looking for candidates with a demonstrated ability to lead a team and to organize and supervise daily support operations of our factory, with an eye for detail, excellent man management, and facilities management skills. The goal is to ensure all support activities are carried on efficiently and effectively to allow the other operations to function smoothly and to preserve an environment where employees, visitors, and property are safe and well-protected.

Job Description

Administration

  1. Responsible for maintaining peace, harmony and cordial relations with workmen, government agencies and officials.
  2. Ensure compliance of various applicable labor laws, statutory and regulatory requirements as per Company Quality and HSE protocols in place as well as with local laws pertaining to SEQs and NEQs and coordinate closely with HSE and Quality functions for related activities.
  3. Support management in ensuring compliance with relevant laws and regulations.
  4. Represent the organization at various internal and external engagements including any legal matters where collaboration or consultation with lawyers is required.
  5. Advise modalities when proceeding with disciplinary action keeping in view local labor laws.
  6. Coordinate with social security institutions i.e. SESSI, PESSI, government labor departments, and Employee Old-Age for regulatory filing and other matters.
  7. Manage administrative, security, HSE, and real estate budgeting with Group Finance.
  8. Manage and oversee all administrative activities on-site including all factory spaces, inventory management, reception services, and other office support services such as the PABX, photocopying, mail room services, parking, boardroom and meeting rooms, pool car management, messing facilities, etc.
  9. Establish clear terms and conditions of contracts with facilities vendors and administer all SLAs including third-party manpower and services contracts in addition to collaboration with the business for daily operations/administrative matters.
  10. Coordinate closely with HSE and Quality functions for related activities.
  11. Ensure timely preventive maintenance of all factory facilities and review and monitor them from a cost-control perspective including the maintenance, repair, or replacement of office equipment including genset and HVACs.
  12. Ensure the strong implementation of the Administration Systems Manual and ensure policy compliance and coordinate internal audit activities.
  13. Ensure access, control, and notification protocols for the Factory as and when required especially in emergency cases, or before or after the opening/closing of the factory.
  14. Develop, maintain, and manage the departmental risk register and risk mitigation controls.
  15. Carry out Security Risk Assessment and develop a Security Plan and report any information security risks, threats, or breaches on time.
  16. Coordinate record management activities and manage the record rooms in direct custody as well as assist people in understanding their responsibilities regarding record management.
  17. Monitor inventory of core office supplies and the purchasing of new material with attention to budgetary constraints.
  18. Scope, budget, and prioritize the annual requirement of major and minor repair works and maintain a repository of reliable vendors/contractors for repair and maintenance.
  19. Oversee and direct projects from requisition to completion.
  20. Identify and drive continuous improvement opportunities to streamline administrative process and improve efficiency within operations.
  21. Maintain fleet records on a fleet management system including any fuel card arrangements and management, trakker coordination and management and monitor and track usage and all associated costs.
  22. Scheduling regular vehicle maintenance to ensure operational efficiency.
  23. Assess staff performance and provide coaching and guidance to ensure maximum efficiency including recruiting and training them and managing deliverables.
  24. Stay informed regarding all organizational changes and business developments.
  25. Stay updated and informed about latest trends and technology in facilities management and HR and recommend/implement improvements. 

Human Resource

  1. Support the development and execution of HR strategy, ensuring alignment with overall business goals and compliance with employment laws.
  2. Formulate, revise, and ensure adherence to HR policies, procedures, and practices that meet the factory's needs and legal requirements.
  3. Oversee all operations related to recruitment, performance management, employee development, separations, engagement, training, and succession planning, ensuring efficiency and cost-effectiveness.
  4. Maintain accurate HR data and metrics for reporting purposes, including recruitment, payroll, and performance KPIs.
  5. Conduct exit interviews to identify retention challenges and recommend strategy adjustments/revisions.
  6. Provide expert advice, coaching, and grievance resolution to foster a positive work environment.
  7. Coordinate with the head office HR team to offer training programs that meet the employees' and organization's current and future needs.
  8. Facilitate HR audits and handle special tasks or projects as assigned by management.
