This position is responsible for overseeing and managing the operational and administrative functions of the Stores and Yard department. Standard (not exhaustive) requirements of the position are listed below:

Job Description

  1. Ensure compliance with HSE policies within the Stores and Yard department and implement management systems such as ISO 9001, ISO 14001, and OHSAS 18001 to uphold safety, quality, and environmental standards.
  2. Maintain accurate stock records and ensure monthly physical inspections align with system records.
  3. Manage and verify ERP postings for issuance, returns, and dispatch of raw materials and finished goods.
  4. Supervise all operational and administrative matters of the Stores and Yard department for smooth departmental functioning.
  5. Ensure the proper allocation, organized stacking, and accurate tagging of all received items while maintaining their safety.
  6. Manage the dispatch of finished goods in line with delivery schedules, ensuring accuracy in delivery documentation.
  7. Prepare and maintain accurate stock reports, conduct interim and annual stock counts, and ensure proper documentation to facilitate internal and external audits.
  8. Review and update min-max inventory levels to ensure optimal stock availability, including the timely purchase of quota items, high-speed diesel, and industrial gases as per approved quantities and schedules, while verifying accuracy and compliance with requirements.
  9. Ensure purchased materials align with purchase requests, prepare GRNs for approved items, and promptly return any rejected materials.
  10. Issue items to users based on approved material requisitions and work orders, ensuring accuracy and correctness.
  11. Review and ensure the accuracy of reports for effective inventory management.
  12. Monitor receipt and disposal of scrap materials.
  13. Ensure that minimum inventory levels of PPE, safety devices, HSE equipment, and first aid supplies are consistently maintained in the store department.
  14. Develop, execute and monitor departmental goals and objectives.
  15. Update store and yard system manuals as needed.
