Job Description 1. Process and implement contracts for office services such as security and equipment maintenance, including furniture, photocopier, fax, power supply, electrical and electronic gadgets, telephone systems, standby generator and etc.  
      2. Check and verify the accuracy and correctness of the amount and other details of utility bills/invoices received from service providers, get it approved form the manager administration and forward to the finance department for payment. The service providers include security agencies, insurance companies, vehicle running and maintenance, and etc.      
      3. Collect and scrutinize all medical reimbursement bills; compile and forward them before month end to the payroll officer and update the same on the system.
      4. Undertake the complete process of EOBI; make EOBI Cards, ensure payments before due date and maintain adequate records.    
      5. Ensure proper functioning of fire-fighting apparatus for use during emergencies.    
      6. Monitor overall level of cleanliness and hygiene at Head Office through daily rounds of premises.    
      7. Provide support to user departments for outdoor work in terms of visits to bank(s) etc.    
      8. Make arrangements for serving of tea and refreshments to staff and guests visiting Head Office.    
      9. Prepare monthly administration expense report.    
      10. Prepare and monitor preventive maintenance plans.    
      11. Execute actions in line with QHSE plans and calendar.    
      12. Prepare attendance report on monthly basis and forward to the payroll officer.    
      13. Prepare purchase requisition for kitchen utensils, refreshments (tea, milk and etc.), general office supplies, office stationery, generators, appliances and etc.    
      14. Arrange traveling and accommodations of company’s employees for their business trips.    
      15. In accordance with company’s approved policy, arrange motor car/cycle for the staff. This includes registration of motor car/cycle, insurance of motor car/cycle and road tax.    
      16. Update record of repair and maintenance of motor car/motor cycle including fuel consumption record.    
      17. Raise and follow up insurance claims with insurance companies for all company vehicles in case of accident/ damages.
