Job Description 1. Operate multi-line telephone system to answer incoming calls.  
      2. Answer all incoming calls and handle caller’s inquiries whenever possible.      
      3. Re-direct calls as appropriate and take adequate messages when required.
      4. Greet, assist and/or direct guests, visitors and the general public.    
      5. Record information of all incoming visitors.    
      6. Provide HSE briefings to new employees and external parties.    
      7. Receive, direct and relay telephone messages and fax messages.    
      8. Direct newspapers to the appropriate staff member.    
      9. Pick up and deliver the mail.    
      10. Open mail and date stamp all general correspondence.    
      11. Maintain the general filing system and file all correspondences.    
      12. Assist in the planning and preparation of meetings, conferences and video conference calls.    
      13. Make preparations for employee and committee meetings.    
      14. Maintain an adequate inventory of office/ kitchen supplies.    
      15. Receive and coordinate responses to inquiries.    
      16. Provide secretarial support.    
      17. Develop and maintain a current and accurate filing system.    
      18. Monitor the use of supplies and equipment.    
      19. Receive and forward the utility bills for photocopy, courier services, and water supply.    
      20. Prepare a summary of all the bills received on monthly basis.    
      21. Perform other related duties as required.
