Job Description 1. Responsible for maintenance and safe custody of all official files, records pertaining to administration department.
2. Responsible to collect, check and arrange on time payments of all utilities and facilities management bills.
3. Responsible to coordinate and initiate official correspondences within company and outside including government bodies.
4. Responsible to supervise and ensure high class house keeping i.e. cleaning , repairing and maintenance of office premises, office appliances through admin staff and contractors
5. Responsible to ensure that all equipments/ appliances are in order.
6. Responsible to collect, distribute all incoming mails to departments and ensure on time dispatch of all out going mails through courier/ own staff.
7. Supervise the provision and hygiene of daily consumption i.e. Tea, Lunch etc. to the staff on time.
8. Record, maintain and monitor daily employee attendance in the Human Resource Management system.
9. Ensure safe custody of all company assets documents and related correspondence i.e. building, land and etc.
10. Ensure raising invoices and collecting rent on time, Ensure timely renewal of all expiries of rent contracts.
11. Arrange and organize company sponsored events like picnics, visits, award ceremony, sports activities etc.
12. Managing, monitoring and evaluating CSR spends and activities in cash, time and kind, and managing the Social Investment Committee.
13. Managing real estate investments including general maintenance, relationship with real estate partners and government bodies/authorities.
14. Budgeting and regular monitoring of budget versus actual spend.
15. Responsible to receive, scrutinize all medical bills pertaining to group hospitalization, out patient and forward to insurance company for reimbursement.
16. Responsible to extend all administrative support to CEO Secretariat to organize CEO’s day to day business and personal commitments, meetings, traveling, and visits etc.
17. Responsible for monitoring security conditions and intimating any major incidents in time.
18. Prepare awareness presentations on safety and security procedures/ measures and carry out evacuation drills in case of fire, earth quake etc. and ensure and supervise proper safety and security measure at all entrance and exits.
